Description
Supports hotel operations by managing clerical tasks, coordinating appointments, and handling guest inquiries. Organizes files, prepares reports, and assists management with daily tasks. Ensures efficient communication between departments and manages office supply inventory.
Duties & Responsibilities
- Manage all incoming and outgoing correspondence, including phone calls, emails, and mail
- Schedule and coordinate appointments and meetings for hotel staff
- Assist guests with inquiries, requests, and complaints, providing excellent customer service
- Maintain and update hotel records, files, and databases
- Prepare and distribute reports, memos, and presentations for hotel management
- Coordinate travel arrangements and accommodations for hotel staff and guests
- Monitor and manage office supply inventory, ensuring an adequate stock at all times
- Assist with budgeting and financial tasks, such as processing invoices and expense reports
- Collaborate with other departments to ensure efficient communication and workflow
- Perform general administrative tasks, such as copying, scanning, and filing documents
- Perform any other duties assigned within the position's scope
Qualifications Required
- High school diploma or equivalent required
- Additional certification or diploma in office administration or related field preferred
- Experience in the hospitality industry or boutique hotel setting is a plus
- Previous experience as an administrative assistant in a boutique hotel preferred
- Knowledge of hotel operations and hospitality industry
- Familiarity with reservation systems and hotel management software
- Strong customer service skills and ability to handle guest inquiries and complaints
- Excellent organizational and time management skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Attention to detail and accuracy in handling administrative tasks
- Ability to multitask and prioritize tasks effectively in a fast-paced environment
Physical Requirements
- Ability to stand and walk for extended periods of time
- Physical stamina to lift and carry supplies or equipment as needed
- Manual dexterity for handling paperwork, operating office equipment, and typing
- Visual acuity to read and interpret documents, reports, and computer screens
- Ability to communicate effectively, both verbally and in writing
- Flexibility to work occasional evenings, weekends, and holidays as required in a hotel environment
